Use the Calendar Grid
The calendar grid is the operational heart of BayWise Scheduler. It shows every bay and every job for a given day as a visual layout — so you can see at a glance what is scheduled, what is running, and where capacity exists.
Reading the grid
The grid has two axes:
- Vertical (rows): Each row represents one workshop bay (e.g., “Bay 1 — Service”, “Bay 3 — Spray Booth”). Bays are listed in the order they were created in your workspace.
- Horizontal (time): Time runs left to right across the top, in 30-minute increments during business hours.
What a job card shows:
- Job name or vehicle description
- Service type
- Assigned technician name
- The card’s position = scheduled start time
- The card’s width = expected duration
Status colours on job cards: Cards change their visual treatment based on status:
- Solid fill = scheduled and upcoming
- Pulsing border = currently in progress
- Faded = completed
- Red outline = delayed or at-risk (promise time exceeded)
Blocked zones: Grey bands across the grid show break times (e.g., Lunch 1:00–1:30pm) and hours outside your operating window. You cannot drag jobs into these zones.
Navigating between days
Use the date selector in the dashboard header to move between days.

| Past days | Read-only. You can see what happened but cannot edit jobs or move cards. |
| Today | Fully live. Changes take effect immediately. In-progress job cards show a pulsing indicator. |
| Future days | Fully editable. Pre-schedule work as far ahead as you need. |
The calendar always opens on today’s date when you first load the dashboard.
Moving jobs with drag and drop
Drag and drop lets you reschedule and reassign jobs directly on the calendar.
To move a job to a different time slot:
- Click and hold the job card
- Drag it left or right to the new start time
- Release — BayWise will validate the new slot and confirm or warn
To move a job to a different bay:
- Click and hold the job card
- Drag it up or down to the target bay row
- Release — BayWise will check that the bay has the required equipment and capacity
Conflict detection: BayWise will warn you if a move causes:
- Overlap with another job in the same bay at the same time
- The job landing outside operating hours
- The assigned technician being unavailable at the new time (already on another job or on break)
You can override the warning and force the move, or cancel and choose a different slot.
Multi-step jobs on the grid
Multi-step jobs appear as linked cards — one card per step, each in the row of the bay where that step is assigned.
The cards for the same job share a colour accent or label, so you can see at a glance that “Step 3 — Paint Prep” and “Step 4 — Paint Application” belong to the same vehicle, even though they are in different bays and different time slots.
What you can do with multi-step job cards:
- Move individual steps independently (respecting the sequence — you cannot schedule Step 4 before Step 3 is complete)
- Open a step card to see completion status, tags, and which technician is assigned
- A completed step shows as faded; the next step’s card becomes active

Viewing the calendar legend
Click the Legend or Glossary button (near the calendar header) to see a full colour and icon reference for:
- Service category colours
- Job status indicators
- Bay status markers
- Break and unavailable zone patterns
Zooming and scrolling
- Scroll horizontally to see earlier or later times in the day
- Scroll vertically to see more bays (if you have more bays than fit the screen)
- On desktop, the grid automatically scales to fill the available width based on your operating hours window
Common questions
Can I see a week view? The current calendar view is day-based. Future views (week, month) are on the product roadmap.
A bay row is missing from the grid. Bays set to Maintenance status do not appear on the scheduling calendar. Check the Bays tab — if the bay is in maintenance, no jobs can be assigned to it.
I cannot drag a job card. Past days are read-only. If today’s cards are also not moving, check your role — Members and above can move jobs; Read Only users cannot drag-reschedule.
The grid is showing a blank area at a time I know the workshop is open. Check your Operating Hours setting (Settings → Operations). If a day or time slot is not configured as open, BayWise treats it as a blocked zone.
