Job Phases Reference

Every job in BayWise Scheduler belongs to one of four phases. The phase tells you at a glance where in the workflow a job sits.

PhaseWhat is happeningTypical actions
PlanningJob created; awaiting scheduling, approvals, parts, or subletsAssign bay and technician, wait for parts, get approval
ProductionActive work is underwayTechnician working, update step progress
QualityProduction complete; inspection, washing, or road testCheck quality, test drive, clean vehicle
CompletionQuality done; invoicing and deliveryRaise invoice, notify customer, hand over vehicle

Planning

The Planning phase covers everything from job creation to the moment a technician starts work. For future-date jobs, only planning-phase statuses are available.

Jobs enter Planning when:

  • A job is created for the first time

Jobs leave Planning when:

  • A technician starts working on the job (moves to Production)

Statuses in this phase: Waiting Decision, Waiting Approval, Waiting Parts, Waiting Sublets, Ready for Service

Production

The Production phase covers active workshop work — a technician has the vehicle and is performing the service.

Jobs enter Production when:

  • A technician starts work on the job

Jobs leave Production when:

  • All production work is complete (the last step is marked done)

Statuses in this phase: In Progress, Paused, Finalized

Quality

The Quality phase covers post-production checks. Not all jobs go through all quality steps — a quick oil change may skip Inspection and Washing; a full engine rebuild will include Road Test.

Jobs enter Quality when:

  • The job moves past the Finalized status into a quality check

Jobs leave Quality when:

  • All applicable quality checks are complete

Statuses in this phase: Inspection, Washing, Road Test

Completion

The Completion phase covers administrative steps after quality is done — invoicing and vehicle handover.

Jobs enter Completion when:

  • The last quality check is complete (or directly from Finalized if no quality checks are needed)

Jobs leave Completion when:

  • The vehicle is collected by the customer (Delivered status — terminal)

Statuses in this phase: Waiting Invoicing, Waiting Delivery, Delivered
