Update Your Profile

Your profile contains your personal information in BayWise — the name your colleagues see on job records, your login email address, your password, and your notification preferences. Profile settings are personal to you; they do not affect other users or the broader workshop configuration.

Your display name appears on job assignment records and in the technician roster. Use your real name rather than a nickname or handle so colleagues and managers can identify you correctly in reports and assignment history.

How to access Profile settings

There are two ways:

  • Click your avatar or name in the top-right corner of the navigation bar, then select Profile from the dropdown menu.
  • Or navigate to Settings → Profile using the left-side settings navigation.

Both paths open the same Profile settings panel.

Updating your display name

Open Profile settings

Click your avatar in the top-right corner and select Profile.

Edit the Display Name field

Click into the Display Name field and update it. For example, changing “S. Nakamura” to “Shota Nakamura” ensures your full name appears in shift reports and job histories.

Save

Click Save Changes. Your new name appears in the top navigation and across all job records immediately.

Changing your email address

Changing your email address requires verification to protect your account from unauthorised changes.

Open Profile settings

Navigate to your Profile settings as described above.

Enter the new email address

Click the Email field and type your new address. For example, updating from shota.n@kurodaservice.jp to s.nakamura@kurodaservice.jp.

Save and verify

Click Save Changes. BayWise sends a verification link to the new email address. Check your inbox (and spam folder if needed) for an email from BayWise.

Open the verification email and click the confirmation link. Your email address is updated once the link is clicked. Until then, your old address remains active and you can still log in with it.

Changing your password

Open Profile settings

Navigate to your Profile settings.

Scroll to the Password section

You will see fields for your current password and a new password entry.

Enter your current password

Type your existing password in the Current Password field. This confirms the change is authorised by you.

Enter and confirm your new password

Type your new password in the New Password field, then repeat it in the Confirm New Password field. A minimum length and complexity requirement applies — the field will indicate if your chosen password does not meet it.

Save

Click Update Password. You remain logged in on your current device. Other active sessions may be signed out depending on your security settings.

Notification preferences

From Profile settings, you can control which email notifications BayWise sends to you. Common options include:

  • Job assignment notifications — an email when a job is assigned to you or a bay you manage.
  • Daily summary — an end-of-day email summarising the day’s jobs, utilisation, and any overdue items.
  • System updates — product announcements and release notes from BayWise.

Toggle each notification type on or off using the switches in the Notifications section of your Profile settings. Changes take effect immediately.

Profile vs workspace settings

It is worth understanding the distinction between the two settings areas:

If you are looking to change something about how the workshop operates — operating hours, bay buffer times, technician availability — those settings are in the Settings area, not in your personal profile.


Common questions

I changed my display name but it still shows the old name on the job board. Why? Try refreshing the page. The name update takes effect immediately on new interactions, but the current session’s active job board view may need a reload to reflect the change.

I requested an email change but I haven’t received the verification link. Check your spam or junk folder first. The email is sent from a BayWise no-reply address, which some filters catch. If it still hasn’t arrived after five minutes, return to Profile settings and re-submit the email change to trigger a new verification email.

Can I change my email address if I signed up with Google or another SSO provider? If your account is linked to a Google or SSO login, email changes are managed through that provider, not through BayWise. Your displayed email in BayWise will reflect your provider account’s email. Contact your IT administrator or update your email at the provider level.

My password change was rejected. What are the requirements? Passwords must be at least 8 characters and include at least one number or special character. The exact requirements are shown inline when you type into the new password field. Avoid reusing your last five passwords.

Can I upload a profile photo? Profile photo support depends on your BayWise plan and configuration. If the option appears in your Profile settings panel, you can upload a photo in JPEG or PNG format. If it is not shown, this feature is not yet available on your plan.

What happens to my job history if I change my display name? All past job records retain the name that was set at the time they were created. Changing your display name affects new records going forward. This is intentional — it preserves an accurate audit trail.
