Plans & Limits
BayWise Payments is available on paid BayWise subscription plans. The features you can access and the actions you can perform are governed by two independent systems: your organisation’s subscription plan determines which capabilities are available to the account, and your role within the organisation determines which of those capabilities you personally can use.
Plan-based feature gating
Your subscription plan controls which BayWise Payments features are active for your organisation. This includes access to dashboard tabs, AI-powered features, advanced reporting, and certain transaction capabilities.
Feature gating is implemented through the capability system — the same mechanism that governs access across all BayWise products. When a feature requires a capability that your current plan does not include, a plan gate appears explaining what is needed and how to upgrade. You are never silently blocked or shown a confusing error.
Upgrading your plan takes effect immediately. The moment an upgrade is confirmed, all newly available capabilities are active — no logout, no page refresh, no waiting period.
Role-based access control
Within the capabilities your plan provides, each team member’s access is determined by their role. A location manager and a technician on the same plan see different things and can perform different actions.
Role-based access governs:
- Which dashboard tabs are visible — the Finance & Receivables and Operations & Costs tabs each require specific view capabilities
- Whether AI features are available — the Intelligence Drawer on the dashboard is available to Finance Managers and Account Owners with AI enabled
- What transaction actions are permitted — recording transactions, managing recurring obligations, configuring processors, and approving refunds each require appropriate role-level permissions
- What settings can be modified — processor configuration, surcharge rates, baseline metrics, and event map customisation are restricted to roles with administrative responsibilities
This layered model means that at Santos Body Works in Sao Paulo, the account owner has full access to every BayWise Payments feature the plan includes. The location manager can view financial dashboards and record transactions but cannot change processor configurations. The service advisor can record payments at the point of sale but does not see the CFO Dashboard at all.
