Upgrade Your Plan

Upgrading your BayWise plan — from Free to Pro, or from Pro to Enterprise — gives you access to higher resource limits (more bays, technicians, or locations), unlocks additional features such as AI scheduling or analytics, or enables multi-location management tools. Upgrades take effect immediately — there is no waiting period, restart, or re-login required.

Upgrades take effect instantly. If you were blocked from adding a bay and you have just upgraded, go straight back to Settings → Bays and add it — no restart or re-login is needed.

When to upgrade

You may need to upgrade in two situations:

  1. You hit a plan limit. BayWise shows an upgrade prompt at the point where the blocked action occurs — for example, when trying to add a fourth bay on the Free plan, or a fourth location on the Pro plan. You are never locked out of existing data; only new additions are blocked.

  2. You want to unlock features on a higher tier. Features like AI scheduling, advanced analytics, API access, incentive schemes, and MSO template controls are available on the Pro and Enterprise plans. You can upgrade proactively at any time, not only when you hit a limit.

How to upgrade

Open Billing and Plans

Navigate to Settings → Billing & Plans. Your current plan and usage are shown at the top.

Click Upgrade

Click the Upgrade button. A plan comparison screen appears, showing the features and limits of each available plan.

Select your new plan

Review the plan options and select the one that meets your needs. If you are unsure which plan to choose, focus on the resource limits (bays, techs, locations) and the feature set you need right now — you can always upgrade again later.

Enter or confirm payment details

If you have a payment method already saved (from your original subscription or a previous upgrade), it will be shown for confirmation. If not, enter your card details. BayWise uses a PCI-compliant billing provider — your card details are not stored on BayWise servers.

Confirm the upgrade

Click Confirm Upgrade. The upgrade is processed and your new plan activates immediately. You will receive a confirmation email with an invoice for the pro-rated amount.

What happens to your existing data

Nothing changes. All your existing bays, technicians, jobs, history, and settings remain exactly as they were. Upgrading only adds capacity and unlocks features — it does not modify, migrate, or reset anything.

If you were blocked from adding a bay because you were at your limit, go back to the point where you were blocked (Settings → Bays) and complete the action you originally tried.

Billing on upgrade

When you upgrade mid-cycle, BayWise charges a pro-rated amount for the remainder of the current billing period at the new plan rate. From the next renewal date onwards, you are billed at the full rate of the new plan.

For example: if your billing cycle runs from the 1st to the 31st, and you upgrade on the 16th, you are charged approximately half a month’s difference between the old and new plan rates. On the 1st of the following month, you are billed the full rate of the new plan.

Downgrading

Downgrading to a lower-tier plan is possible but subject to resource constraints. If your current usage exceeds the lower plan’s limits — for example, you have eight bays but the lower plan only allows five — BayWise will not allow the downgrade until you reduce your usage to within the lower plan’s limits.

Steps to downgrade:

  1. Reduce your usage to within the lower plan’s limits (remove excess bays, archive locations, etc.).
  2. Navigate to Settings → Billing & Plans → Manage Billing.
  3. Select the lower plan and confirm.

Common questions

The upgrade prompt appeared in the middle of creating a job. Will the job be lost if I upgrade now? Navigating to Settings → Billing & Plans to upgrade will leave the job creation screen. In most cases, a draft job is not auto-saved mid-creation. Complete the upgrade first, then return to create the job.

I upgraded but I still see the old plan limits. What should I do? Refresh the page. Upgrades take effect immediately on the server side, but your browser may be showing a cached view. A page refresh will pull the updated plan data.

Can I upgrade to an annual plan to save on cost? Annual billing options may be available depending on your region and plan. Navigate to Settings → Billing & Plans to see if an annual billing toggle is shown alongside the monthly options. Annual plans typically offer a meaningful discount over the equivalent monthly rate.

My upgrade failed at the payment step. What should I do? Check that the card details are correct and that the card has not expired. If the problem persists, try a different card or contact your bank to confirm the transaction is not being blocked. If the issue continues after that, contact BayWise support with your account email.

Is there a free trial available for higher-tier features before I commit? Feature trial availability depends on your region and current plan. Some plans offer a short trial period for higher-tier features — check the plan comparison screen during the upgrade flow for any trial options shown.
