Sign Off & Export

Sign-off is the final step in an engagement. It finalises the report, removes the DRAFT watermark, makes the PDF available, and sets the signed baseline. This guide walks through the entire process.

Who can do this: Consultants with sign-off capability, and Account Owners.


Before you sign off

Sign-off is permanent. Before clicking Sign off →, confirm:

  • You have worked through all the relevant sections
  • The Total Opportunity figure in the Synthesis stage looks right
  • You have reviewed the report in the Principal view as the Dealer Principal will see it
  • All open feedback comments have been resolved
  • The Dealer Principal name on the dealership record is correct (it appears on the report)

Once signed, the engagement cannot be edited. If corrections are needed after signing, contact your Account Owner. Draft PDF versions remain accessible, but the signed report is final.


Open the report

From the Canvas, click View report in the bottom toolbar. The Report modal opens.

Review the Principal view

The modal opens in the view you last used. Switch to Principal using the toggle in the toolbar at the top of the modal.

Read the report as the Dealer Principal would. Check:

  • The executive summary accurately describes the engagement
  • The key takeaways list the right findings with the right money figures
  • The action plan has the correct actions, horizons, and outcomes
  • The dealership name, region, and currency are correct

If anything needs adjusting, close the modal, return to the Canvas, and use the feedback loop to make the correction. Then re-open the report to verify.

Review the Working view (optional)

Switch to Working to review the full reasoning chain behind each finding. Use this to confirm that Lens’s logic is sound before putting your name on the report.

Download a draft PDF (optional)

If you want to share the report with the Dealer Principal for informal review before signing, click ⬇ Draft PDF. This downloads a PDF with the DRAFT watermark visible. Share it for review; do not present it as the final deliverable.

Click “Sign off →”

In the modal toolbar, click Sign off →. The Sign Off panel opens.

Your name is pre-filled from your profile. Confirm it is correct — it will appear at the foot of the signed report as:

[Your name]
Fixed-Ops Consultant
Signed: [Date]

Click Sign off to confirm.

Download the final PDF

After sign-off, the modal toolbar changes: the Sign off → button disappears and the ⬇ Draft PDF button becomes ⬇ PDF.

Click ⬇ PDF to download the final report. The DRAFT watermark is gone. Your signature block appears at the foot of the document.

The report is ready to deliver to the Dealer Principal.


You can print the report at any time — before or after sign-off — using the ⎙ Print button in the modal toolbar. The print layout is optimised for A4.

Before sign-off, the printed copy carries the DRAFT watermark. After sign-off, it prints clean.


What the baseline means

When you sign off, the engagement status changes to Signed and the signed report becomes the baseline for this dealership. This has one practical consequence:

If you or a colleague returns to this dealership in six months and opens a new engagement, Lens will have the signed baseline to compare against. The new engagement’s findings can be measured against what was found in the first: which gaps improved, which stayed flat, which got worse.

This is what makes Lens a longitudinal practice tool, not just a one-time report generator.

The baseline is set once — at first sign-off. Subsequent signed engagements extend the history.


Common questions

I signed off by mistake. Can I undo it? Sign-off cannot be undone through the application. Contact your Account Owner immediately — they may be able to assist depending on what actions have been taken since signing.

Can I download the PDF again after signing? Yes. Open the engagement from the list, navigate to the Canvas, click View report, and click ⬇ PDF. The download is always available for signed engagements.

The Dealer Principal wants changes after seeing the draft PDF. What do I do? Make the changes before signing. If they want changes after you have already signed, contact your Account Owner.

Can someone else sign off my engagement? Any team member with sign-off capability can sign off an engagement in your workspace. The name that appears on the report is whatever is entered in the Sign Off panel — it should be the name of the consultant who ran the engagement, not whoever happens to click the button.

The PDF download button is grayed out. Why? The PDF button is always available for signed engagements. If it appears grayed out, the report may still be assembling — wait a moment and try again. If the problem persists, refresh the page and re-open the Report modal.
