Pause & Delay Reasons Reference
BayWise asks for a reason at four moments. The lists are short on purpose — a long list gets answered with whichever option is first.
Pausing work
Offered when work is stopped on the board. At least one reason is required.
| Reason | Use when |
|---|---|
| Waiting for parts | Work cannot continue until a part arrives |
| Customer call-back | Waiting on the customer to answer or decide |
| Payment hold | Work is held pending payment or authorisation |
| Tech unavailable | The technician has been pulled away |
| Other | Anything else — a note is required |
The reason appears on the card and in the action centre, so a paused vehicle reads as “held for parts” rather than just “paused”.
Reporting a delay
Offered at check-in when a job is running past its estimate and the answer is Delayed. A reason and a number of extra minutes are both required.
| Reason | Use when |
|---|---|
| More complex than expected | The work turned out bigger than the estimate |
| Parts not available | A needed part is not to hand |
| Equipment down | A lift, booth or tool is unavailable |
| Tech unavailable | The person on the job has been pulled away |
| Awaiting customer approval | Extra work found, waiting on a decision |
| Rework | Correcting something that was not right |
| Vendor / sublet shop delayed | An outside shop is running late |
| Nearly done | Only a little longer — the mildest case |
| Other | Anything else — a note is required |
These reasons are the raw material of every improvement conversation you will have. A quarter where a third of delays are “parts not available” is telling you something about your parts process that no amount of scheduling will fix.
Cancelling a job
Offered when a job is removed from the plan. At least one reason is required.
| Reason | Use when |
|---|---|
| Customer declined | The customer chose not to proceed |
| Estimate too high | The quote was rejected on price |
| Duplicate job | The same work is recorded twice |
| Vehicle withdrawn | The vehicle was taken away |
| Other | Anything else — a note is required |
Day close
Offered at day close for work that did not finish, where a person needs to say why.
| Reason |
|---|
| Pending further diagnosis / inspection |
| Awaiting customer approval (estimate or scope change) |
| Awaiting customer decision |
| Insurance / warranty authorisation pending |
| Waiting for parts — not yet ordered |
| Waiting for parts — already ordered |
| Parts received — awaiting fitment slot |
| Waiting for specialist technician |
| Technician unavailable / absent |
| Bay or equipment not available |
| Subletted to external workshop |
| Other |
This list is longer than the others because it is the one that becomes the record. The distinction between “not yet ordered” and “already ordered” is exactly the sort of thing that is obvious at 6pm and unrecoverable a week later.
Where the reasons end up
Every reason is recorded against the job and shown in the detail pane as a pause history and a check-in history. They also feed the repair analysis produced after a vehicle is handed over, and the delay patterns visible in analytics.
