Create Your Account

Setting up your BayWise Scheduler account takes less than five minutes. The process has two parts: creating your login credentials and completing the one-time Onboarding Wizard that configures your organisation and first location. Once both are done, your account is live and ready to schedule jobs.

Who this guide is for: Anyone registering a new BayWise Scheduler account for the first time. This is typically the workshop owner, operations manager, or the person who will serve as the account owner.


Sign up

Go to the BayWise website

Navigate to baywise.app in your browser. On the homepage, click Get Started or Sign Up. Either button takes you to the registration page.

Enter your email address

Type the email address you want to use for your BayWise account. Use a business email address — for example, admin@premierautomotive.co.za or manager@fujiwara-motors.co.jp — so the account is clearly associated with your workshop rather than a personal inbox.

Create a password

Enter a password that meets the minimum requirements:

  • At least 8 characters
  • A mix of letters and numbers is strongly recommended

You will be asked to enter the password twice to confirm it. Once entered, click Create Account.

BayWise immediately sends a verification email to the address you provided. The subject line will be something like “Verify your BayWise email address”. Open the email and click the Verify Email button or link inside.

If the email does not arrive within a few minutes, check your spam or junk folder. If it is not there, return to the BayWise sign-in page and use the Resend Verification Email option.

Once you click the link, your email address is confirmed and you are redirected back to BayWise to continue setup.

The email verification link expires after 24 hours. If you click it after that window, return to the BayWise sign-in page and request a new verification email before proceeding.


Complete the Onboarding Wizard

On your first login after verifying your email, the Onboarding Wizard launches automatically. The wizard collects the foundational settings BayWise needs before you can start scheduling jobs. It takes two to three minutes to complete.

Set your Organisation name

The first screen asks for your Organisation name. This is the name of your business as it will appear throughout BayWise — in reports, team management screens, billing, and multi-location views.

Enter the legal or trading name of your workshop. Examples:

  • Premier Automotive Group
  • Fujiwara Motors KK
  • Al-Rashid Auto Services LLC
  • Lindqvist Karosseri AB

You can update the organisation name later at any time from Settings → Workspace, so do not worry if you need to refine it once the business is fully enrolled.

Set your first Location name

The second screen asks for your first Location name. In BayWise, a location represents a single physical workshop site — one building with its own service bays, technician roster, job board, and daily schedule.

For a single-site business, the location name is often the same as or a short form of the organisation name. For a multi-site business, use the branch or site identifier:

  • Cape Town Workshop
  • Osaka — Namba Branch
  • Dubai Marina Service Centre
  • Stockholm South

You can add further locations after setup from Settings → Locations. The wizard creates exactly one location to get you started.

Review your role assignment

The wizard confirms that you are being assigned the Account Owner role for this organisation. The Account Owner role has full access to all settings, billing, team management, reporting, and data across every location.

Your name and role are displayed for confirmation. Click Confirm to proceed. You cannot change your own role away from Account Owner during the wizard — if you need to transfer ownership later, that is managed through Settings → Team.

Arrive at the Dashboard

Once you click Confirm, the wizard closes and you land on the Dashboard — the live operational board for your first location. The location you named above is now your active location, shown in the top navigation bar.

Your account is fully active. No jobs, technicians, or bays exist yet — that is your next stage of setup.

You only go through the Onboarding Wizard once. After that, additional locations and all account settings are managed from the Settings panel. There is no way to re-run the wizard — any information you enter during it can be updated at any time through Settings.


What to do next

With your account created and the wizard complete, work through these setup steps before scheduling your first job:

  1. Configure operating hours — Tell BayWise when your workshop is open so the scheduler knows your working window. See Configure Operating Hours.
  2. Add your bays — Create the service bays at your location. See Add & Manage Bays.
  3. Add your technicians — Create a record for each person on your workshop floor, with their skills and availability. See Add & Manage Technicians.
  4. Invite your team — Send login invitations to your advisors, controllers, and managers. See Invite Team Members.
  5. Create your first job — Once bays and technicians are set up, you are ready to schedule. See Create a Job.

There is no strict order for steps 1–4, but having at least one bay and one technician is required before you can schedule your first job.


Common questions

I did not receive the verification email. What should I do? First check your spam or junk folder. If it is not there, return to the BayWise sign-in page and click Resend Verification Email. If you still do not receive it after five minutes, confirm you typed the correct email address during sign-up. If the address was entered incorrectly, start a new registration with the correct address.

Can I change the email address I used to sign up? Yes. After you are logged in, go to Settings → Profile and update your email address. A new verification email will be sent to the updated address, and you will need to verify it before the change takes effect.

The wizard closed before I finished. Where do I find the settings it was asking about? All settings covered by the wizard are available in Settings → Workspace (organisation name) and Settings → Locations (location name and details). Any data you entered before the wizard closed was saved. Simply open those settings panels to complete the configuration.

I already have a BayWise account but want to set up a new, separate organisation. What should I do? Each BayWise account is associated with one organisation. To set up a completely separate organisation — for example, for a different legal entity — you will need to register a new account with a different email address.
