Set Up Your Organisation

These are the settings everything else sits on top of. Get the time zone right before anything else.

Who can do this: Account Owners and Org Admins.

Open Settings → Workshop Info

Set the workshop name

What appears on the board and in reports.

Set the time zone

The workshop’s own zone, not yours.

The board shows the location’s local time, and the plan’s days begin and end in that zone. A workshop in Dubai administered from London must be set to Dubai, or every day boundary will be wrong by four hours.

Set the language

The interface language for the workshop.

Set the default billing labour rate

The hourly rate used where a technician has no rate of their own. Individual technicians can override it.

App mode

Production is normal operation. Demo makes the sample-data tools available so you can explore BayWise with realistic bays, technicians and vehicles.

Switch to Production before you enter real work. Sample data added in Demo mode is added to your existing records — it does not live in a separate sandbox.

What comes next

The organisation settings do not describe your floor. Nothing can be planned until the bays, technicians and hours are set up.

Getting Started for Account Owners

Multiple locations

An organisation can hold several locations, each with its own bays, technicians, hours, closures and plan.

Settings split accordingly: the organisation carries the name and the account; each location carries its own operating hours, breaks, buffer and clock-in rule.

Common questions

Can I change the time zone later? Yes, but do it early. Records already written carry the zone that was set when they were written.

We operate across two time zones. Use a location per zone. A location has one time zone.

Can each location have its own language? The interface language is set per user preference and per workshop. A group operating in several languages generally sets each location to the language of its floor.

What is the difference between the organisation and a location? The organisation is the business — the account, the team, the plan. A location is a physical workshop with its own floor and its own day.

Who can change these? Account Owners and Org Admins. Location Managers change their own location’s operating settings but not the organisation.
