Hand a Vehicle Over
Handing over closes the visit and frees the bay. It is the last step of every job, and the one most often left until the bay is needed.
Who can do this: Service Advisors, Workshop Controllers, Location Managers, Org Admins and Account Owners.
Finding what is ready
Finished vehicles appear in the action centre under Unblock, with the reason “every step done · holding a bay”.
On the board itself, their cards show every stage complete.
BayWise will keep telling you a bay is being held, but it will never decide that a car has left. A vehicle is not handed over because the work finished; it is handed over because somebody gave the keys back.
Handing over
Open the vehicle
From the action centre row, or from its bay card.
Press Deliver
Confirm
The confirmation appears inline — Yes, deliver.
The bay frees immediately and is available for the next vehicle. A message confirms the handover by plate.
When it will not let you
| Message | Means | What to do |
|---|---|---|
| This car still has unfinished work — finish or skip it first | A stage is not complete | Complete it, or mark it skipped if it does not apply |
| This job was cancelled and cannot be handed over | The job was removed from the plan | Nothing to hand over |
| That car is no longer on the board | Somebody has already dealt with it | Refresh |
| You do not have permission to hand a car over | Your role does not include it | Ask a controller |
| The workshop did not answer in time | A connection problem | Try again |
A vehicle already handed over says so rather than doing it twice.
Clearing the exits before close
Make this a habit an hour before closing: filter the board or open the Unblock lens and hand over everything ready.
A vehicle finished at 15:00 and still in its bay at 17:00 is a bay you needed for the evening’s work — and it is the commonest quiet capacity loss in a workshop that is otherwise running well.
At Tanaka Auto Service in Osaka, the controller clears the Unblock lens at 16:00 and again at 17:30. It takes under two minutes and it is worth roughly a bay and a half of evening capacity.
After handover
The job is closed and the vehicle leaves today’s floor. It remains fully searchable — the toolbar search finds vehicles that have been handed over, and the record of the visit stays with the vehicle.
Once a vehicle has been handed over, BayWise can also produce a repair analysis for the job: where the time went, what caused the delays, and what would have made it faster.

Common questions
The customer is collecting tomorrow. Do I hand it over now? No. Hand over when the keys change hands. If the vehicle is finished and occupying a working bay in the meantime, move it to a holding or post-service parking bay.
A stage does not apply to this vehicle. Mark it skipped rather than completing it falsely. Skipped stages are recorded as skipped and are not counted in the stage total.
Can I hand over from the action centre without opening the vehicle? Yes — the row offers Deliver directly.
I handed over the wrong vehicle. Tell your controller immediately. The record shows who handed over what and when, which is what makes it correctable.
The Deliver button is disabled with a note about the day. Scheduling is stopped because an earlier day has not been closed. Close it and the control returns.
