Search & Filter Transactions

The Transactions page supports multiple filters that can be combined to narrow down exactly the transactions you need. Whether you are looking for all card payments last Tuesday, a specific vendor’s invoices, or a transaction by reference number, the filter system gets you there quickly.

Who can do this: All team members with BayPay access.


Available filters

The Transactions page provides five filter mechanisms that work together. Applying any filter immediately updates the transaction list and recalculates the period summary totals.

Filter by direction

Use the tri-toggle

At the top of the Transactions page, switch between Ledger, Inflows, and Outflows using the direction toggle.

  • Ledger shows all transactions with running balance (both directions combined)
  • Inflows shows only money-in transactions
  • Outflows shows only money-out transactions

Combine with other filters

The direction filter applies on top of all other filters. For example, selecting Outflows and then filtering by Method = Cheque shows only cheque-based expense payments.


Filter by payment method

Open the method dropdown

Locate the Method filter dropdown above the transaction list.

Select a method

Choose one of the available methods:

View filtered results

The transaction list immediately updates to show only transactions matching the selected method. The period summary recalculates to reflect the filtered subset.


Filter by category

Open the category dropdown

Locate the Category filter dropdown above the transaction list.

Select a category

Choose from the available event categories. These are the same categories defined in your event map — Labour, Parts, Sublet, Rent, Salaries, and so on.

View filtered results

Only transactions recorded under the selected category appear. This is useful for answering questions such as “how much did we spend on parts this month?” or “what is our labour revenue for the week?”


Filter by date range

Use the DateRangeFilter

The date range picker at the top of the page supports four modes:

  • Day — step forward or backward one day at a time. Defaults to today.
  • Week — view a seven-day window.
  • Month — view a full calendar month.
  • Custom — pick a start and end date for any arbitrary range.

Use the arrow buttons to step through periods. In Day mode, each click advances or retreats by one day. In Month mode, each click moves by one calendar month.


Search transactions

Enter a search term

Type in the search field above the transaction list. The search runs in real-time as you type.

What the search matches

The search checks three fields on each transaction:

Delete the text from the search field to return to the unfiltered view.

Search works across all other active filters. If you have Outflows selected, Method set to Cash, and type a vendor name in the search field, you see only cash expense payments to that vendor. This makes it straightforward to answer very specific questions.


Active filter pills

When one or more filters are applied, coloured filter pills appear below the filter bar. Each pill shows the active filter value and provides a quick dismiss action (click the X on the pill to remove that filter). This visual feedback makes it clear which filters are shaping your current view.


URL-based drill-through

Several screens in BayWise Payments link to the Transactions page with pre-applied filters encoded in the URL parameters. This drill-through pattern is used by:

  • Dashboard panels — clicking a segment in the Method Mix panel opens Transactions pre-filtered to that method
  • Cashflow Calendar — the “View Transactions” CTA on a selected date opens Transactions filtered to that date
  • Collection Queue — entity-level links pass the entity ID as a filter parameter

When you arrive at the Transactions page via a drill-through link, the filters are pre-applied and visible as active filter pills. You can modify or remove any of them to broaden your search.

The URL parameters that drive drill-through include direction, method, category, dateFrom, dateTo, and search. These are stable and bookmarkable — you can save a filtered URL as a browser bookmark for quick access to a view you check regularly.


Common questions

Can I filter by contact (customer or vendor)? Use the search field and type the contact name. The search matches against the contact name field on every transaction. There is no separate contact dropdown filter, but the text search is effective for this purpose.

Do filters persist when I navigate away? No. Filters reset to their defaults (Ledger view, today, no method or category filter) when you leave the Transactions page and return. URL-based drill-through links reapply filters because they are encoded in the URL itself.

Can I see voided transactions by filtering? No. Voided transactions are excluded from the Transactions page entirely. To see voided rows, use the Ledger tab within the Financial Recording Modal for the specific entity.

How do I find a transaction when I only know the approximate amount? Type the amount (or part of it) in the search field. For example, typing “4750” will match transactions with amounts like 4,750.00. Combine with a date range to narrow results if the amount is common.

Can I export the filtered results? The Reports module supports exporting transaction data with the same filter parameters. Navigate to Reports, select the Transactions report, apply your filters, and export as PDF or Excel.
