Find a Vehicle and Its History

The toolbar search finds any vehicle that has ever been through your workshop — on the floor now, or handed over months ago.

Who can do this: everyone, including Read Only users.


Finding a vehicle

Type into the search box in the board toolbar

Part of a plate is enough. The placeholder says it: search any vehicle, including delivered.

Read the match count

The number of matches is shown as you type.

Choose the vehicle

A vehicle currently on the floor jumps to its bay card. A vehicle no longer here is marked Off floor and opens its record directly.

Recent vehicles is offered before you type anything — the vehicles you have looked at lately, which covers most of what you need during a shift.


Reading the record

Opening a vehicle shows its detail pane.

This visit

The stage-by-stage record: what each stage was planned to take, what it actually took, who did it, and whether it ran over.

Under Why / details you also get:

  • Who could do this — the qualification context for the stage
  • Check-in history — every delay reported, with its reason and who reported it
  • Pause history — every pause, how long it lasted, why, and how it ended
  • Certification and supervision flags where they apply

Previous visits

Every repair order this vehicle has had at your workshop, each with its status — delivered, cancelled, in progress, or one of the waiting statuses.

Opening a past repair order shows what was done on that visit.

If no work was recorded against a past repair order, the pane says so plainly rather than showing an empty screen. An honest “no work was recorded” is a useful fact — it usually means the visit was cancelled or the vehicle was never started.


The two calls this answers

“I was in a few weeks ago and the noise is back.” Search the plate, open the previous repair order, and read what was actually done and by whom — before you commit to anything on the phone.

“Has this car been in before?” Search it at check-in. If it has, the make, model and customer come with it, and you can see whether this is a return visit for the same fault.

A vehicle returning for the same complaint within a short window is worth spotting at the counter rather than after the work is booked.


Repair analysis

Once a vehicle has been handed over, BayWise can produce a repair analysis for that visit — where the time went, what the delays were, and what would have made it faster.

It is on the vehicle’s record, under the visit it belongs to.

Common questions

The vehicle is not being found. Check the plate for spacing and character confusions — 0 and O, 1 and I. Partial plates work, so try a shorter fragment.

Can I search by customer name? Search is by vehicle. Find the vehicle and the customer is on the record.

How far back does history go? As far back as your workshop’s use of BayWise. Vehicles are not archived out of search.

Can a technician see vehicle history? Yes. Everyone can read a vehicle’s record, including Read Only users.

A vehicle’s record could not be loaded. The pane says so rather than showing a blank. Retry; if it persists, it is worth reporting.
