Start, Pause and Complete Work

Work moves through BayWise from the bay card. Four controls cover it.

Who can do this: Workshop Controllers, Location Managers, Org Admins and Account Owners — or a custom role your workshop has set up for the people doing the work.

Start

Find the card with your name on it

Your work is on the bay cards. A card waiting to begin reads Awaiting start.

Press Start when you actually begin

Not when you walk over, not when you have found the keys. When work begins.

The countdown runs from the moment you press Start, not from when the job was planned to begin. That is deliberate — the board is a picture of what is really happening, not of what was supposed to happen.

A late Start makes a job look like it has more time than it really has, and the vehicles behind it get planned around a finish time that will not happen. If you started forty minutes ago and are only pressing Start now, tell your controller.

A job that was due to start and has not been shows as Not Started on the board — a question somebody will come and ask.

Pause

Use Pause when work stops for a reason that is not you: parts have not arrived, the customer has not called back, the equipment is down, you have been pulled onto something else.

Press Pause on the card

Pick at least one reason

Waiting for parts · Customer call-back · Payment hold · Tech unavailable · Other.

Other requires a note.

Confirm

The reason appears on the card and in the action centre, so the vehicle reads as “held for parts” rather than just “paused” — which is the difference between something a colleague can help with and something nobody knows about.

Pausing is not an admission of anything. It is the fastest way to move a problem to somebody who can solve it. A job that quietly sits still helps nobody.

If a paused job sits with no update, the board will ask Still on hold? — one tap to answer.

Handle a paused job

Resume

Press Resume on the card

Say how the pause ended

Optional, and worth doing — “part arrived and was fitted” is the sentence that makes the record readable in three weeks.

The countdown picks up from where it stopped. Time spent paused does not count against the work.

Complete

Press Complete when the stage is finished.

The vehicle moves on to whatever is next: another stage, possibly in another bay with another technician, or — if that was the last stage — to finished, waiting to be handed over.

Nothing decides a stage is done except a person pressing this. BayWise will not decide it for you.

What happens after the last stage

A vehicle whose every stage is complete is finished, and still occupying a bay. It appears in the action centre under Unblock with the reason “every step done · holding a bay”, and stays there until somebody hands it over.

Hand a vehicle over

Found extra work

If you open a vehicle up and find more than was agreed, do not simply carry on. Open the detail pane and use Found extra work — the extra stages join the vehicle’s plan, and everything behind it is re-planned around the new length.

This is also what protects you: unrecorded extra work makes your afternoon look slow for no visible reason.

Common questions

I pressed Start on the wrong car. Tell your controller. They can correct the assignment; the record should say what really happened.

Can I work two cars at once? Only up to the number of concurrent jobs set for you. Most workshops set one or two.

What if I forget to press Complete? The job will keep counting and eventually show as running over, and the board will ask whether it is on schedule. Press Complete when you notice.

Does pausing count against me? It should not. A pause with a reason is information the shop needs. If pauses are being used to criticise people, the honest ones will stop.

Someone else pressed Complete on my job. Whoever pressed it is recorded. If that is wrong, tell your controller — the record is worth keeping accurate.

The buttons are greyed out with a note about the day not being closed. Scheduling is stopped until an outstanding day is closed. Clocking on and checking vehicles in still work normally.
