Understanding the Dashboard

The BayWise Payments dashboard is a role-aware, opinion-driven command centre for workshop owners, CFOs, and location managers. It surfaces aggregated metrics from your live transaction data, colours them with GOOD / WATCH / CRITICAL verdicts, and organises them into three role-gated tabs. Every number on the dashboard comes from server-side aggregate calculations — the dashboard never exposes raw transaction rows.

Who can do this: Dashboard visibility is role-gated per tab. You see only the tabs your role permits.


Dashboard structure

From the main navigation, select Dashboard. The dashboard loads with the first tab your role has access to.

If your role does not include access to a tab, that tab does not appear.

Read the verdict strip

At the top of each tab, a verdict strip displays opinion chips. Each chip summarises the health of a specific metric using a three-state system:

Verdicts are computed by the shell verdict engine using configurable thresholds. They update automatically as your data changes.


The AsOfMonthPicker

At the top of the dashboard, the AsOfMonthPicker controls which period the dashboard reports on.

  • Current month (default) — the dashboard shows live, real-time data. Period-scoped panels reflect the current calendar month. Point-in-time panels (like AR aging) reflect today.
  • Past month — step backward to view any previous month. Period-scoped panels re-scope to that month. Forward-looking and live panels continue to show current data with a “Current” or “Live” chip to indicate they are not re-scoped.

Use the stepper arrows to move one month at a time.


Overview tab panels

The Overview tab provides a high-level snapshot of your location’s financial health.

Business Snapshot

A summary card showing the month’s key financial indicators: total revenue, total expenses, net income, and transaction count. Provides a quick answer to “how is the business doing this month?”

Ops Health Strip

Operational health indicators in a horizontal strip. Covers metrics like open job count, average job age, and throughput. These are point-in-time figures that reflect the current state.

Forward Signals

Forward-looking indicators that warn about upcoming cash pressure. Shows expected AR collections, upcoming AP obligations, and whether projected inflows cover projected outflows. When a shortfall is detected, you can drill down to see the gap amount and which outflows are driving it.

Confirmed Cashflow

The cashflow position based on confirmed (recorded) transactions. Shows inflows, outflows, and net for the selected period. This panel only counts confirmed transactions — no projections.

WIP Exposure

Work-in-progress exposure broken down by lifecycle stage (Estimate, Approved, In Progress, Delivered). Each stage shows the total value and percentage share. Drill into a stage to see individual entities. High WIP in early stages may indicate billing delays.

Method Mix

A breakdown of payment methods used during the period. Shows what percentage of collections came via Cash, Card, Bank Transfer, and Cheque. Useful for tracking digital payment adoption.

Location Leaderboard

Appears for multi-location organisations. Ranks locations by collection performance. Click a location to switch context and view that location’s detailed dashboard.

Payments Impact

Shows how your payments metrics have changed since you started using BayWise Payments. Requires baselines to be set (see Set Collection Baselines). Compares your current DSO, collection rate, and cost of capital against pre-BayPay baselines.

The Payments Impact panel displays a “Set baselines” prompt if no baselines have been recorded. Baselines are your pre-BayPay performance numbers — without them, the impact calculation has no reference point.


Finance & Receivables tab panels

The Finance tab is focused on money owed to you and how effectively you are collecting it.

AR Aging

The centrepiece of the Finance tab. Displays accounts receivable grouped into 8 aging buckets:

Each bucket is tappable — click to drill down and see the individual entities in that bucket. A stacked proportion bar shows the relative size of each bucket visually. Footer metrics include the 90-day+ percentage, net realization rate, current DSO, and DSO trend direction.

Tracks the conversion of payment links from Sent through to Paid:

Sent -> Viewed -> Partial -> Paid

Each stage shows count and percentage of the original Sent count. Colour coding (green/amber/red) indicates whether conversion rates are healthy. A drop-off alert highlights the biggest gap between consecutive stages.

Revenue Mix

Breaks down revenue by source — job revenue vs business sales, labour vs parts vs sublet. Shows the composition of your income stream.

Insurer Risk Summary

For workshops that work with insurance companies. Shows each insurer’s outstanding AR, realization rate, and risk indicators. Drill into an insurer to see their entities in the Collection Queue.


Operations & Costs tab panels

The Operations tab focuses on money going out and operational efficiency.

AP Aging

The outflow counterpart of AR Aging. Shows vendor invoices grouped by aging bucket with the same 8-tier structure. Helps you spot overdue vendor payments before they become a problem.

Upcoming Outflows

A forward-looking panel showing AP items and recurring obligations due in the next 7, 14, and 30 days. Helps with cash planning — if Sharma Motors Mumbai has rent, salaries, and a large parts invoice all due in the same week, this panel surfaces the concentration.

Expense Ratio

Compares total expenses to total revenue for the period. A high expense ratio (expenses consuming a large share of revenue) triggers a WATCH or CRITICAL verdict.

PSP Fees

Processor fee breakdown per payment service provider. Shows transaction volume, fee amount, and effective rate for each active processor. See Monitor PSP Fees for details.

Business Pulse

A compact summary of operational health metrics covering throughput, efficiency, and capacity utilisation.

Insurer Risk Summary

Also available on the Operations tab with the same data and drill-down as the Finance tab version.


Data source and security

All dashboard data comes from server-side functions that return pre-aggregated results. The dashboard never accesses raw transaction data directly. This means:

  • Data is role-checked on the server before it reaches your browser
  • Only aggregate figures are transmitted to the browser
  • Location scoping is enforced server-side
  • No individual customer or vendor details appear in dashboard panels (only in drill-downs)

Common questions

Why do I only see one or two tabs? Dashboard tabs are role-gated. Your role determines which tabs you can see. If you need access to a tab, ask your Account Owner or Org Admin to adjust your role.

What does the “Live” chip on a panel mean? When viewing a past month via the AsOfMonthPicker, panels that cannot be re-scoped (like AR Aging, which is always point-in-time) show a “Live” chip to indicate they reflect current data, not the selected historical period.

How often does the dashboard refresh? Dashboard data loads on page open and refreshes when you change the period or tab. There is no continuous polling on the dashboard — switch tabs or re-select the period to see the latest numbers.

Can I see the dashboard for all locations at once? The Location Leaderboard panel on the Overview tab provides a cross-location comparison. For detailed metrics, select each location individually using the Location Switcher. A unified multi-location dashboard view is planned for a future release.

What are baselines and why does the Impact panel ask for them? Baselines are your pre-BayPay performance numbers (DSO, collection rate, cost of capital). They let the Impact panel calculate how much BayWise Payments has improved your metrics. See Set Collection Baselines to configure them.
