Manage Dealerships
A dealership record is the anchor for all your work with a client. It stores the name, location, currency, brand, and Dealer Principal contact that appear on every report. This guide covers how to create a dealership, how to find an existing one, and how to avoid duplicates.
Who can do this: Consultants and Account Owners.
Find an existing dealership
Dealership records are shared across your workspace. Before creating a new one, check whether a colleague has already created the record.
The easiest way is through the + New engagement flow:
- Click + New engagement on the home screen
- Type the dealership name in the search box
- If it appears in the results, select it — no need to create another record
The search shows your five most recently used dealerships when the field is empty, then filters as you type.
Create a dealership
If the dealership does not exist yet, create it during the new engagement flow.
Open the New Engagement panel
Click + New engagement on the home screen.
Search and confirm no existing record
Type the dealership name. If no match appears, click + Create “[name]” or + Create new dealership at the bottom of the results.
If you see a “similar dealership already exists” warning, open the existing record before proceeding. Check whether it is the same dealership operating under a slightly different name. Duplicate records cannot be merged once created.
Complete the Identity group
- Trading name (required) — the name on signage, the OEM franchise agreement, and the report header
- Legal entity name — the registered company name; defaults to the trading name if left blank
- Country (required) — determines the default reporting currency
- City — used in the region label on engagement cards and the report
Complete the Commercial group
- Currency — pre-filled from the country selection; override if the dealership reports in a different currency (for example, a UAE dealership owned by an Indian group that reports in USD)
- Fiscal year starts — the month the dealership’s financial year begins; most MENA dealerships use January, many Indian dealerships use April
Complete the Operation group
- Brand(s) — the OEM franchise(s); comma-separated if multi-brand (e.g. “Toyota, Lexus” or “Nissan, Infiniti”)
- Dealership type — choose from: New + Service, Service-only, Multi-brand independent, or Body & paint specialist. This helps set the right benchmarks for findings.
Add the Dealer Principal (optional)
- Name — appears on the signed report as the addressee
- Email — for your reference; the report is not sent automatically
Click Create dealership
The dealership record is created. The engagement flow continues automatically with this dealership selected.
Naming conventions
Clear, consistent naming prevents duplicates and makes the engagement list easy to scan.
Use the dealership’s trading name exactly as it appears on their signage or franchise agreement:
- “Al Faris Motors LLC” → use “Al Faris Motors” (omit the legal suffix)
- “Tanaka Auto Service Co., Ltd.” → use “Tanaka Auto Service”
- “Santos Body Works” → exactly as is
Avoid adding location qualifiers to the name itself (like “Al Faris Motors — Dubai”) unless the group has multiple branches under the same name. In that case, use a consistent format: “Al Faris Motors (Dubai)” and “Al Faris Motors (Abu Dhabi)”.
A simple test: if the Dealer Principal read the name on the report, would they recognise it immediately? If yes, it is the right name.
What you cannot do currently
- Update a dealership record after creation — the dealership details are set at creation and cannot be edited through the interface in this version. If you need to correct a trading name, country, or currency, contact your Account Owner.
- Merge duplicate records — if duplicate records are created by mistake, they cannot be merged. The engagement tied to the duplicate record will need to remain there.
- Archive a dealership — dealerships cannot currently be archived or hidden from the list.
Common questions
Can two engagements be linked to the same dealership? Yes. A dealership can have multiple engagements — one per audit cycle. All engagements for the same dealership share the same dealership record and its details.
Does the dealership record update if I change the currency mid-engagement? The currency is fixed when the dealership record is created. All findings in all engagements linked to that dealership use the same currency. If the currency needs to change, contact your Account Owner.
If I create a dealership with the wrong country, can I fix it? Not through the interface in this version. Contact your Account Owner for corrections to core dealership fields.
Can the same dealership exist in two workspaces? Yes — if two different consulting firms are both running engagements for the same dealership, each firm’s workspace would have its own independent record. Dealership records are not shared between workspaces.
